Privacy and control

What is stored, where it lives, and how to delete it or unlink a device.

What is stored

While AI access is on, maklly's server holds — per recording:

  • the transcript text and its timestamped segments
  • the title, the property, the area path, the location
  • the linked onOffice estate, if the recording has one
  • when it was captured, and when it was last synced

What is never stored

  • Audio recordings. They stay on your iPhone.
  • Photos. They stay on your iPhone.

Where it lives

On maklly's server in Germany.

Seeing exactly what the server holds

Open the maklly web app and go to Transcripts. That page is the complete server copy: every synced walkthrough, its full text, its timestamped segments and its metadata. If it is not on that page, it is not on the server.

Deleting

You can delete from either side, and both are permanent. In every case the recordings on your iPhone are untouched.

From the appSettings → AI Access:

  • Switching the AI Access switch off deletes everything already synced.
  • Delete synced data does the same and switches AI access off.

Both keep the device linked, so you can switch AI access back on later without signing in or entering a code again. If the phone has no connection at that moment, the deletion is queued and retried automatically — "off" always ends with the server copy gone.

From the web appTranscripts:

  • Open a transcript and choose Delete transcript to remove that one.
  • Delete all synced transcripts removes every one of them; you type a word to confirm.

A transcript deleted in the web app stays deleted: the phone will not upload it again, even though the recording is still on the phone.

Deleting your maklly accountSettings → Profile in the web app — removes all synced transcripts with it.

Unlinking a device

Unlinking stops one device from syncing. It does not delete what is already on the server — combine it with Delete synced data if you want both.

  • In the web app: Settings → AI access → Linked devices, then Revoke on the device.
  • In the maklly app: Settings → AI Access → Unlink this device.

To link the device again, sign in with Apple once more, or use a fresh link code.

Disconnecting an assistant

There is currently no list of connected assistants and no button to disconnect one. Until there is, the way to cut off what a connected assistant can read is to turn AI access off or use Delete synced data — an assistant can only ever read what is on the server, so an empty server means an assistant with nothing to read.

Rate limits

An assistant may make 60 read requests per minute for your account. That is far more than a conversation needs; it exists so a runaway client cannot hammer the server. See Troubleshooting if you ever hit it.
